Booking With Us, What
YOU need to Know.
Prices: These are given in US$ and will remain active for a minimum of 2 weeks after we email you any price list or quote. This gives you time to ask further questions and think about any options. Due to fluctuations in foreign exchange, world fuel prices, airfares, taxes and other factors, if you do not book within 2 weeks of our quote, or do not request a revised quote, we will have to re-confirm prices with you. We hope the price will not have to change. Any bookings made within 2 weeks of a quote will be honoured at the price given.
Airfares: We will obtain the best possible price we can for you, but earlier bookings usually guarantee lower fares. We usually handle transfers and hotels for our clients, so you are in good hands all the way and can relax.
You may book your own flights, transfers and hotels if you wish, but you must be at our Kampala Office on the morning of your tour departure at the designated time. At the end of any tour you will be dropped of at our Kampala Office.
Booking Conditions: If you book flights your self, liability for delays, flight cancellations nd other failures on the part of the carrier lies with the carrier or your flight booking travel agent. If you miss the start of your tour due to any of the problems previously described, we are not duty bound to hold the tour, or transfer you out to meet it on route. We may depending on your booking be able to transfer you at cost to the tour.
For a complete "Flights Transfers, Hotel & Tour" booking ALL through us, or a group booking of a whole tour we may hold the vehicle in Kampala until your arrival or transfer you out to meet the tour on route We will not be able to refund any money for time lost due to flight difficulties.
Confirmation Invoice: When you make your booking (subject to availability) and have paid the correct deposit, we will issue you a confirmation invoice and a unique booking reference number. At this point you have entered into a contract with the company. Check this invoice and if errors are present notify us immediately. Changes may not be possible later. If some activities like Gorilla Tracking or specific accommodation cannot be confirmed immediately we will show these as on request on your confirmation invoice. If your request can be met within 2weeks a new invoice will be sent. If we can't meet your needs you will have the option of changing your booking or cancelling. If we change your booking a new contract for revised services comes into effect on receipt of your revised invoice. If you cancel we will return your deposit promptly and we will have no further obligations to you.
Payment: A deposit of 10% of the tour cost per person is payable at the time of booking. The balance is payable 8 weeks prior to the start of the first service or activity booked directly through us. If payment is not made within that time we are entitled to accept this as a cancellation and retain your deposit. If you wish to reactivate your booking a late reinstatement fee will apply and immediate full payment will be required. Credit card payments will incur a charge to us by your card issuer for which we will charge you (usually 1-3%).
Making changes: once your booking is confirmed, changes made by you (if we can accommodate them) will incur a $50 amendment fee per change to cover administration costs. Any additional charges from airlines, hoteliers and other suppliers will be charged to you.
Airline Tickets: if booked through us the Name(s) on the Confirmation Invoice will be those on the Airline Tickets and must match the Name(s) on all travellers Passports.
Cancellation by You: If you cancel you booking with us, the following cancellation charges will apply. They vary depending on the notice you give prior to expected departure dates.

Cancellation takes effect from the date that a written cancellation reaches us. Additional cancellation charges may apply to airfares we have booked on your behalf. These are controlled by the airline and we will inform you if these apply. If you have taken out separate travel insurance as we have directed, you may be able to claim for your cancellation charges. If any cancellation of full paying traveller reduces any group booking to below the number on which your tour price or quote was based, we will recalculate and invoice additional charges.
Cancellation by Us: Occasionally we may have to significantly change or cancel a tour before departure due to circumstances beyond our control. In this case we offer you a choice of options:-
- Accept the changed but similar arrangements.
- You may choose a different similarly priced tour from us. We may but are not bound to offer you a slight upgrade.
- Accept our cancellation or cancel yourself and we will refund all of the money you have paid to us.
If our major changes or cancellation occur within 6 weeks of departure we will if appropriate pay you a compensation payment in addition to your full refund. We will not make this payment if the cancellation is as a result of your prior breach of contract, unusual unforeseen circumstances completely out of control, which we could not with due care avoid, or change is of a minor nature (reverse itinerary etc)

In the case of "Force Majeure" (see clause below) we may have to change or terminate your holiday after departure, but before the scheduled end date. This is has never occurred yet, but in the event we will be unable to offer any refund unless we can obtain any refund from suppliers to us. Any supplier refunds will be returned to you.
Force Majeure: Except where expressly stated in Booking Conditions. We cannot accept liability or pay compensation where our obligations to you and performance is hampered or prevented by or you suffer loss or damage as a result of "Force Majeure". Force Majeure means is any event that we as your service provider with all reasonable care and diligence could not foresee or avoid. Such events include War, threat of war, Riot, Civil Strife, Actual or threatened Terrorist Activity, Industrial Disputes, Natural or Nuclear Disasters, Extreme Weather events/conditions, fire and similar events beyond our control.
Travel Documents: We will get any air tickets or documentation you need to start your journey to you a minimum of 2 weeks prior to your departure.
YOU MUST HAVE THE FOLLOWING:- Full Passport valid for a minimum of 6months beyond the end of your tour some blank pages.
- All Visas for countries the tour enters.
- All medical certificates required by countries the tour enters (Yellow fever & Cholera).
- A comprehensive Travel Insurance Policy.
- Documentation for any prescription medicines (keep in original labelled containers).
- Anti-malarial (prophylactics) drugs for the duration of your tour and after you return home.
Our liability to You: We promise to make sure that the holiday arrangements and tours we provide to you will be provided and performed to a high standard with reasonable care and proficiency. We are only able to accept responsibility for what our own staff and suppliers do or fail to do. In the course of their normal employment and working hours.
We are not liable for any injury, illness, expense, loss or damage caused by acts or omissions on the part of the affected person(s) or any of their party and any unpreventable act by any other non Ankole Adventures Staff, member of your tour.
Furthermore we reserve the right to remove persons from a tour if their behaviour is such that it has or is liable to cause injury, loss, endanger others or adversely affect others enjoyment of a tour. We may transfer such persons back to Kampala, leave them in the next sizeable town or if their activities are of a criminal nature leave them in the hands of the local authorities.
You must disclose to us any acute illnesses and allergies from which you suffer at the time of booking, so that we are able to decide whether any tour is likely to be unsuitable for you. We may ask for this to be in writing. We are not liable for any consequence of a failure to disclose such information to us.
Our guides will advise you on how to behave in the wilderness to lessen the risk of injury or wild animal attack. You may be required to sign indemnity forms at wilderness camps. You will not have any claim against us if you disregard this advice.
If you suffer any loss, injury or damage whilst under the influence of drugs or alcohol we will not be liable for such loss, injury or damage.
Our Duty of Care in event of Accident or Illness: Regardless of the circumstances, our staff will do as much as is reasonably possible in any situation or location to preserve life. We have good First Aid and Firefighting equipment on board our vehicles and staff have some First Aid Training. You are required to bring some small items of Personal First Aid equipment as listed in the "What Should I Bring?" page of the website or brochure.
WE RESERVE THE RIGHT TO POSTPONE A TOUR TO TAKE A GUEST TO URGENT MEDICAL TREATMENT IF IT IS THOUGHT IN THE OPPINION OF THE TOUR LEADER THAT A LIFE MAY BE IN DANGER.
The tour will resume as soon as the affected person(s) are in the hands of healthcare professionals. From this point on your welfare is no longer in the hands of the company and medical expenses and medical evacuation must be covered by your Travel Insurance Policy. We will not be able to refund anyone for changes and loss of Scheduled Tour Time. We hope you will appreciate this is reasonable and protects the welfare of ALL our guests and staff.
Safety and Security: Uganda is no safer or more dangerous than any other country. Please be careful with your valuables and keep them discreetly concealed if you do not need them. Try not to carry more cash than you need or expensive cameras and jewellery swinging around your neck. African people are mostly very friendly but also poor. Your camera might be 10 years wages to someone in a small town or village! Please try not to put temptation in their path. Our staff may be able to secure some items for you in the vehicle and safes may be available at Hotels.
Wild Animals: No safari experience would be complete without them! DO NOT FEED ANY WILD ANIMAL on any tour unless an agreed part of any itinerary or activity. DO NOT LEAVE FOOD UNATTENDED IN ANY TENT OR SHELTER our cooking staff can look after small items for you in secure containers with our supplies. NEVER WANDER OFF ALONE FROM ANY TOUR OR CAMPSITE. TENTS MUST BE KEPT ZIPPED UP ALL NIGHT. DO NOT SLEEP WITH ANY PART OF YOUR BODY PROTRUDING FROM YOUR TENT. AVOID WANDERING ROUND THE CAMP ALONE AFTER LIGHTS OUT. IF YOU NEED THE TOILET TAKE A TORCH AND INFORM SOMEONE. Our guides will advise you on how to behave in the wilderness to lessen the risk of injury or wild animal attack.
Special Requirements: If you have any special dietary requirements these must be disclosed at time of booking, otherwise they may not be met. We aim to provide balanced healthy meals using local fresh ingredients and offering reasonable choice.
